Position Summary: We are seeking an Executive Assistant with a keen interest in real estate to provide high-level administrative and project support to the Executive Director (ED) and leadership team. This role is ideal for someone who thrives in a dynamic, mission-driven environment and is eager to grow their career in the real estate sector. You will play a pivotal role in supporting organizational leadership, Board development, and community relations/advocacy, with a strong emphasis on real estate operations and project management.

Key Responsibilities:

  • Provide administrative support to the ED and executive team to ensure efficient operations.
  • Manage the ED's calendar, including scheduling meetings, drafting agendas, and resolving conflicts.
  • Coordinate internal and external resources to expedite workflows.
  • Organize all-staff and Board meetings, including logistics and materials preparation.
  • Act as a liaison for the Board, managing meeting logistics and documentation.
  • Notarize documents for real estate and finance functions.
  • Assist with due diligence, document management, and compliance for real estate projects.
  • Arrange travel and accommodations for the ED and executive team.
  • Maintain confidentiality and secure communication practices.

Desired Skills and Qualities:

  • Strong interest in real estate, property management, or housing development.
  • Proficiency in Microsoft Office Suite and Adobe Acrobat Professional; experience with real estate management software is a plus.
  • Excellent verbal and written communication skills, with the ability to interact professionally with real estate partners, vendors, and stakeholders.
  • Exceptional organizational and time management skills, with the ability to manage multiple real estate projects and deadlines.
  • High attention to detail, especially in document preparation and compliance.
  • Ability to maintain confidentiality and exercise sound judgment in real estate and financial matters.
  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred.
  • 3-5 years of experience supporting top-level management, ideally within a real estate, property management, or nonprofit setting.
  • Valid California Driver’s License and auto insurance.
  • Ability to work a 9/80 work schedule, with flexibility to work weekends, holidays, and after-hours as needed; hybrid work requirement will depend on ED schedule.
