Job Summary

Provide administrative and technical services and analysis to the real estate development team for new development, relocation/ community development, and rehabilitation of housing projects. This is a project-based position. This position is eligible for a hybrid work schedule.

Job Description

Essential Duties and Responsibilities

·         Create, compose, and prepare correspondence, including tenant/community notices, and distributes out-going correspondence via fax, mail, or e-mail, as needed.

·         Write and edit various materials utilizing Word and Excel, as needed. Independently manage administrative functions for division/site.

·         Schedule and confirm meetings, conference calls, and meeting spaces.

·         Attend project meetings with consultants, tenants, and other stakeholders, as needed. Take notes, ask questions, and support logistics of community meetings. Ensure that inquiries are responded to and will support research needed to appropriately answer stakeholder questions.

·         Act regularly as a liaison with internal departments, outside vendors/consultants and other parties.

·         Assist with tenant/project files or database. Produce reports as requested. Maintain and control confidential materials.

·         Prepare check requests, invoicing, contracts, division plans and budgets/proformas for review by manager.

·         Prepare project financial analysis, narratives and prepares applications/proposals for funding.

·         Perform other tasks as requested to ensure the smooth functioning of the division/site and other activities. Assist with various division/site projects and supports the team. Create, track and provide follow-through.

·         Meet regularly with supervisor and provides written and oral progress reports as requested.

·         Work cooperatively with others.

·         Comply with all company policies and procedures.

Supervisory Responsibilities

·         This position may have supervisory responsibilities.

 

Minimum Qualifications of Position

·         Bachelor’s Degree in Business, Planning, Communications, or related field.

·         One (1) year of demonstrated experience in related work.

Preferred Qualifications of Position

·         Experience in low-income housing.

 

 Knowledge and Skills

·         Detail oriented, especially in creation of financial spreadsheets.

·         Relate positively to people from diverse backgrounds and professional levels.

·         Multi-task and prioritize duties.

·         Strong organizational skills.

·         Excellent interpersonal skills, verbally and written communication.

·         Computer proficiency level in Microsoft Office Suite software.

 

Working Conditions and Physical Requirements

Physical: Must be able to push/pull object less than 30 pounds, walk, climb stairs and enter/exit buildings that are under construction, occasionally, without normal ingress/egress available.

 

Sensory: Ability to read fine print on documents.  Able to speak clearly and make self-understood, while also understanding others using the English language.

 

Cognitive: Ability to understand and relate to concepts behind specific ideas and remember multiple tasks/assignments given to others over a period of days.  Able to concentrate on moderate detail in both office and field with moderate interruption. Able to attend task/function for more than 60 minutes at a time.

 

Environment:  Exposure to different climates.  Exposure to dust, dirt, air particles, and hazardous materials common to residential construction sites.

 

Equipment: Ability to properly operate computers & telephone.
